1. Who is responsible for personal information
Service provider and organization responsible for personal information: Olesia Volkova, Alberta, Canada. Olesia Volkova is the sole legal service provider and the contracting party for all agreements. CallMeAlisha | Life & Career Coach is used only as a website and brand name. It is not a separate legal entity and is not a party to any agreement.

2. Scope and applicable privacy laws
This Policy explains how CallMeAlisha collects, uses, discloses, retains, and protects the personal information of website visitors, people who ask questions, book a session, or order a service, and current clients.
The Personal Information Protection Act (Alberta), or PIPA, applies to activities in Alberta. The Personal Information Protection and Electronic Documents Act, or PIPEDA, may also apply to interprovincial or international commercial processing of personal information. Any mandatory rights of an individual take priority over any provision of this Policy.
Services are available only to people who are 18 years of age or older.
3. Information we collect
Contact information: first and last name, email address, mobile phone number, preferred language, and selected contact method.
Application, booking, and order information: service name, price, requested and confirmed session date and time, time zone, duration, requested month and agreed program start date, website-form responses, description of the client’s situation, and desired outcome.
Career Coaching materials: resume, LinkedIn profile link or content, job postings, descriptions of experience, skills, and achievements, and other materials the client voluntarily provides for the agreed service.
Life Coaching materials: questionnaire responses, agreed goals, working exercises, materials, and administrative notes needed to manage the engagement. Live sessions are not recorded.
Communications: messages through email, Telegram, or another agreed channel; inquiries, requests, clarifications, reviews, and records of support provided.
Payment and contract information: order number, amount, currency, payment status, PayPal transaction identifier, contract date, the date and status of required and optional consents, and the versions of the documents included in the final PDF copy of the agreement. CallMeAlisha does not receive or store a full payment-card number, bank credentials, or a PayPal password.
Technical information: IP address, browser and device type, time zone, website and Google Sheets timestamps, application identifier, system logs, error information, and necessary cookies — only to the extent required for security, operation of the website and form, recording consent, preventing duplicate submissions, and fraud prevention. OpenAI’s ChatGPT Sites automatically provides built-in traffic statistics, including aggregate unique visitors and page views. CallMeAlisha does not add a separate third-party analytics SDK.
4. How information is used
Information is used to respond to inquiries; process the website application form; confirm availability and eligibility for a service; manually agree on a date and time; send final details and a PayPal payment request; arrange a booking or order; provide Career Coaching or Life Coaching; prepare for a session; perform an audit or editing service; coordinate future meetings; send transactional confirmations and a PDF copy of the agreement; maintain accounting and tax records; protect the website and clients; address requests, complaints, and disputes; and comply with legal requirements.
At launch, CallMeAlisha does not send marketing emails or display a marketing-consent checkbox. A booking or purchase does not subscribe a client to a mailing list. If marketing emails are introduced later, this Policy and the website interface must be updated before separate, voluntary, revocable marketing consent is collected.
5. Consent, required information, and withdrawal
CallMeAlisha collects, uses, and discloses personal information only for reasonable purposes identified before or at the time of collection and only to the extent reasonably necessary for those purposes.
Information identified as required is needed to form an agreement, process payment, arrange a booking, or provide a service. If the client does not provide it, the relevant service may not be available or may not be capable of being completed.
Consent may be changed or withdrawn by contacting the Privacy Officer. Withdrawal applies going forward. It does not invalidate processing that was already lawful and does not prevent the retention of information required to perform an agreement or meet tax, accounting, security, or other legal obligations. CallMeAlisha will explain any clear consequences of withdrawal.
6. Use of AI
For certain Career Coaching services, Alisha may use OpenAI’s ChatGPT and Anthropic’s Claude as supporting analytical tools only after the client gives separate, voluntary consent. Only the portions of a resume, LinkedIn profile, job posting, or other materials needed for the agreed purpose may be processed. Direct identifiers are removed or minimized when reasonably practicable.
The client may decline the use of AI or withdraw consent before materials are submitted to an AI service. Declining AI does not prevent the client from ordering a service; the work is completed without AI unless otherwise agreed separately.
In Life Coaching, AI may be used only after separate consent to help prepare general exercises or a session structure. The client’s personal information and session content are not submitted to AI services.
AI does not make decisions for the client. Alisha reviews and adapts all conclusions, recommendations, and documents. Information may be processed outside Canada as described in section 8 of this Policy and under the relevant provider’s terms.
7. Who may receive information
Information may be disclosed only to the extent required for the identified purpose to the following categories of recipients: Google Sheets, for private application records; Google Workspace, including Gmail, Drive, Docs, and Meet, for transactional confirmations, communication, private storage, PDF agreements, and sessions; PayPal, for payments and refunds; Telegram, when the client chooses it as a contact method; OpenAI (ChatGPT Sites), for website hosting, secure form intake, technical operation, logs, and built-in traffic statistics; OpenAI and Anthropic, only with separate AI consent; professional accountants, lawyers, insurers, or technical advisers, when reasonably necessary and subject to confidentiality; and government bodies or other persons when disclosure is required or permitted by law to protect life, health, safety, or rights, or to prevent fraud.
CallMeAlisha does not sell, rent, or trade personal information for third-party advertising.
8. Processing outside Canada
Some service providers may store or process information outside Canada, where it may be accessible to courts, law-enforcement agencies, or government authorities under local law.
Current information about foreign service providers, countries, and processing purposes may be requested from the Privacy Officer at callmealisha.coaching@gmail.com.
9. Retention periods
Inquiries from people who do not become clients are retained for up to 12 months after the last communication unless a longer period is needed to address a dispute or comply with law.
Resumes, LinkedIn materials, job postings, and working copies of deliverables are retained for up to 12 months after completion of the relevant service unless the client requests earlier deletion and no lawful reason requires longer retention.
Questionnaires, working notes, coaching materials, and coaching communications are retained for up to two years after the last service provided unless a longer period is reasonably necessary for a legal or business purpose.
Agreements, consent records, invoices, payment and refund records, and other tax or accounting documents are retained for at least six years after the end of the relevant tax year, or longer when required by law or an unresolved dispute.
Technical logs and security information are retained for up to 12 months unless an incident requires a longer investigation. At launch, marketing consents and addresses for marketing distribution are not collected.
After a reasonable retention period ends, information is securely deleted or de-identified.
10. Safeguards
CallMeAlisha uses reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including access restrictions, unique passwords, multi-factor authentication, private folders and links, device and software updates, backups, access reviews, and secure deletion.
No method of transmission or storage is completely secure. If a security breach occurs, CallMeAlisha will assess the risk, take steps to reduce it, and notify the Office of the Information and Privacy Commissioner of Alberta and affected individuals when required by law.
11. Individual rights
An individual may submit a written request to confirm whether their personal information is held; obtain access to it; learn how it has been used and disclosed; correct inaccurate or incomplete information; change or withdraw consent; or submit a complaint about processing.
Requests should be sent to the Privacy Officer at callmealisha.coaching@gmail.com. Reasonable identity verification may be required to protect the information. CallMeAlisha responds within the period required by applicable law. Under PIPA, a response is generally provided within 45 days unless the period is lawfully extended.
If the matter is not resolved, the individual may contact the Office of the Information and Privacy Commissioner of Alberta or another competent authority.
12. Cookies and analytics
The website and application form may use necessary cookies for operation, security, and language selection. The form also uses browser session storage to temporarily save an application draft and return the client to it after viewing a legal document. The draft is deleted after a successful submission or when the browser session ends. No separate automatic hold is placed on the selected time. Necessary cookies and session storage are not used for third-party behavioural advertising.
Optional analytics or marketing cookies must not run before separate consent is obtained. If such cookies are added, the banner and this Policy must identify the provider, purpose, duration, and method for changing the user’s choice.
13. Third-party links and platforms
The website may contain links to PayPal, Google, Telegram, LinkedIn, YouTube, TikTok, or other third-party services. Their independent processing of information is governed by their own policies. CallMeAlisha is responsible for reasonably selecting and using its service providers but does not control a third-party website’s independent activities after a user follows a link.
14. Changes to this Policy
This Policy may be updated because of changes to services, providers, or law. The current version and its effective date will be published on the website. If a change materially affects information already collected or requires new consent, the client will receive separate notice and new consent will be requested when required.
